Position Summary

The Senior Legal Assistant will deliver high-level administrative support to the Chair of the Social Services Law Group and the management team. This exempt position demands outstanding organizational skills, independent work capability, and exceptional project management abilities.

Essential Functions

Key responsibilities of the Senior Legal Assistant within the Executive Office include, but are not limited to:

  • Drafting letters and correspondence for the executive team.
  • Organizing and maintaining the filing system for the City Solicitor, including archiving Solicitor Opinions.
  • Generating weekly, monthly, and quarterly reports as requested by the Social Services Chair or the executive team.
  • Coordinating meetings and interviews.
  • Tracking assignments and projects.
  • Receiving phone calls and assisting inquiries for the Social Services Law Group.
  • Logging and managing incoming mail.
  • Preparing various reports and budget-related documents.
  • Organizing documents in the Versatile system.
  • Providing backup support in hiring and recruitment processes.
  • Collaborating on projects with other executive team members, Administrative Services, and department managers.
  • Requesting information from relevant City agencies and ensuring follow-up to meet deadlines.

  • Proficient organizational skills.
  • Professional and effective oral and written communication.
  • Ability to work autonomously and think proactively.
  • Capability to manage and prioritize multiple assignments.
  • Computer skills necessary for the position include:

MS Office (Word, Excel, Outlook, PowerPoint, OneNote, Access), Google Drive (Docs, Sheets, Slides, Forms), spreadsheets (Excel, Google Sheets, OpenOffice Calc), email management (mail merge, filters, folders, rules), presentations (PowerPoint, Google Slides, OpenOffice Impress, Tableau), and proficiency in Microsoft Teams, Zoom, and other virtual collaboration platforms.
