Capability to work independently in a fast-paced, remote environment. Availability to work U. S. business hours.

Job Title: Team Lead – Intake & Case Management (ABA)
Location: Remote (South Africa – US Hours)
Job Type: Full-Time
Working Hours: Monday to Friday, US Business Hours (9 AM – 5 PM EST)

Key Responsibilities:

  • Provide leadership and guidance to the intake and case management team, ensuring effective oversight, support, and performance enhancement.
  • Manage the entire client intake lifecycle, including initial inquiries, insurance verification, authorizations, and onboarding procedures.
  • Maintain accurate and timely entry of client data using CentralReach and other CRM systems.
  • Monitor team productivity and workflows to guarantee adherence to service level agreements (SLAs).
  • Develop and refine processes and standard operating procedures (SOPs) for intake and case management.
  • Serve as the escalation contact for complex cases, delays, or client issues.
  • Work collaboratively with clinical, billing, and scheduling teams to facilitate smooth client onboarding and service delivery.
  • Analyze key metrics such as intake timelines, conversion rates, and authorization turnaround times to drive improvement.
  • Conduct regular quality assurance assessments to ensure data accuracy and compliance with company and payer standards.
  • Train and onboard new team members on operational systems, workflows, and best practices.
  • Ensure adherence to HIPAA regulations and internal documentation guidelines.

Requirements:

  • Minimum of 3 years of experience in ABA operations, intake coordination, or case management.
  • Demonstrated experience in a leadership or supervisory capacity.
  • Proficient in using CentralReach (mandatory) and familiarity with other CRM/EMS systems.
  • Strong knowledge of ABA intake processes, including insurance verification and authorizations.
  • Exceptional organizational and multitasking skills.
  • High attention to detail and a process-oriented approach.
  • Excellent communication and leadership capabilities.
  • Ability to work autonomously in a dynamic remote environment.
  • Availability to work U. S. business hours.
