Overview

I am an established full-service wedding planner specializing in integrating wellness coaching and LCSW expertise into event planning. I am seeking a motivated and highly organized Virtual Assistant to enhance operational efficiency and support the growth of my business.

This position is perfect for a skilled individual with a strong background in managing administrative, logistical, and design-related tasks. Proficiency in industry-specific software is essential. This role promises consistent work with opportunities for advancement.

Core Responsibilities

The successful candidate will assist across various functions, overseeing both administrative duties and specialized planning tasks:

Logistics & Administration

  • Timeline Management: Draft and update detailed event timelines using Aisle Planner.
  • Vendor Coordination: Gather vendor contracts and critical details.
  • Insurance Tracking: Request, track, and organize Certificates of Insurance (COIs) for venues and vendors.
  • Data Entry: Ensure accurate maintenance of client and vendor information within Aisle Planner and our CRM.
  • Email Support: Organize and manage planning-related communications effectively.

Design & Project Management

  • Floor Plan Design: Create precise, scaled event layouts in Aisle Planner based on venue dimensions and sketches.
  • Asset Placement: Efficiently arrange tables, chairs, bars, stages, and other decor elements within layouts.
  • Task Management: Help track internal project progress using Trello.

Skills & Experience Required

  • Proven experience in event planning administration or as a Virtual Assistant in the events sector.
  • Software Proficiency: Must be skilled in Aisle Planner; experience with Trello is a significant advantage.
  • Detail-Oriented: Exceptional attention to detail across all tasks, from data entry to floor plans.
  • Communication: Excellent communication skills, with a strong sense of responsiveness and reliability.
  • Proactive: A self-starter who anticipates needs and can solve problems independently.

Project Details & Application

  • Project Type: Hourly Contract (with potential for a monthly retainer)
  • Timeline: Ongoing support, starting at 5-10 hours per week, with the possibility of more.
