The Finance and Administration Manager plays a key role in ensuring the accuracy and efficiency of daily financial and administrative operations. This fully remote position requires close collaboration with the U. S.-based CFO on strategic matters, while independently managing transactional and operational workflows. Strong attention to detail, accountability, and the ability to manage multiple priorities are essential.
What you will do
- Billing & Invoicing: Oversee all client invoicing, including monthly, per-session, and contract-based billing. Ensure invoices are accurate, timely, and reflect contract terms. Track billing schedules and milestones, and work with operations teams to verify billable activities.
- Accounts Receivable & Collections: Manage collections, follow up on overdue invoices, and maintain up-to-date aging reports. Communicate professionally with clients about billing issues, escalate non-payment risks, and suggest actions to management. Implement strategies to improve collections and reduce Days Sales Outstanding.
- Contract Administration: Oversee the full lifecycle of contracts with clients and vendors, including renewals and amendments. Keep a well-organized contract repository and tracking system, monitor key contract dates, and ensure compliance in contract execution and storage.
- Payroll & PEO Coordination: Coordinate contractor payments and ensure compliance with 1099 regulations.
