Role Overview
The BPO Manager is integral to the successful execution of Xometry’s BPO program, ensuring that all administrative and compliance documentation is meticulously completed and accurate. This role serves as the primary liaison for internal business clients initiating new or updated BPO requests.
This position effectively connects business functions, BPO vendors, and internal teams (Finance, Legal, HR, and IT), ensuring seamless onboarding, change management, and reporting processes across all outsourcing projects.
Key Responsibilities
Administrative & Compliance Support
- Oversee and manage all BPO-related documentation, including Master Service Agreements (MSAs), Statements of Work (SOWs), and onboarding/offboarding forms.
- Facilitate document flow between Legal, Finance, HR, and vendor teams.
- Ensure timely updates to internal trackers and databases (e.g., Confluence, Jira, or shared Excel files).
- Confirm that all required paperwork is complete prior to onboarding or contract renewal.
Business Support & Request Management
- Act as the initial point of contact for business owners submitting BPO requests.
- Gather, assess, and validate incoming requests to ensure they contain essential details (e.g., number of FTEs, start date, job description, time zone overlap, skill set requirements).
- Direct validated requests to the appropriate internal approvers (Finance, Procurement, Legal, HR).
- Maintain communication with business clients and vendors to ensure smooth interactions and timely updates on request statuses.
Operational Coordination
- Assist with the onboarding and offboarding processes for BPO employees in collaboration with IT and HR.
- Keep accurate records of vendor performance, project milestones, and billing cycles.
- Support the generation of reports and summaries for management regarding BPO headcount, budget usage, and vendor performance.
