We are seeking a proactive Administrative Assistant to provide vital support to the Deputy Manager and ensure the seamless operation of our daily activities. This key role encompasses a variety of administrative tasks, including managing documentation, facilitating payment and expense processes, and offering crucial support to the Administration Department.
Key Responsibilities:
Office Administration:
- Manage correspondence, filing (both digital and physical), scheduling, and document preparation.
- Oversee office supplies and coordinate necessary approvals.
- Keep track of contract renewal dates, ensuring timely updates and monitoring.
Administrative Documentation & Invoice Management:
- Prepare and organize vendor-related documents, including invoices, purchase orders, and delivery notes.
- Translate and upload invoices into the company system efficiently.
- Ensure all related documents are filed appropriately for reference and auditing purposes.
HR & Staff Administrative Support:
- Maintain accurate employee records and track leave.
- Assist HR with relevant processes, such as training and seminars.
- Respond to employee inquiries regarding general HR matters in a timely manner.
