YOUR ROLE:
At Astro Mechanica, we expect excellence across all departments. While some roles necessitate technical knowledge, this position demands tenacity, meticulous attention to detail, strong communication skills, and resilience. As an Executive Assistant, you will support our leadership team by enhancing their productivity. You will distill the various communications, events, and distractions into the essential information that requires their focus. This role requires significant autonomy and a high standard of performance without the need for external validation. In exchange, you will gain rare insights into the inner workings of a company at a pivotal stage of growth.
KEY RESPONSIBILITIES:
Calendar Management & Prioritization
- Take complete ownership of executive calendars, treating them as your own work product. Your responsibilities will extend beyond simple scheduling; you will protect their time, identify priorities, and make informed judgment calls based on your understanding of each leader's needs.
- Act as a proactive preparer, anticipate scheduling conflicts, track follow-ups, gather necessary notes and materials, and foresee potential issues whenever possible.
Communication & Correspondence
- Manage a high volume of email communications with sound judgment, elevating important matters that require attention while tracking less urgent items.
- Communicate on behalf of executives both internally and externally, ensuring to match the appropriate tone and detail required for each correspondence.
