Reports to: CEO & Operations Manager

Our Mission

In this pivotal role, your primary responsibility is to reclaim leadership time. You will safeguard the CEO and Operations Manager from low-impact tasks, allowing them to concentrate on driving revenue, business growth, strategic execution, and scaling operations.

Your goal is to eliminate friction within the organization, enhance leverage, protect focus, and propel momentum.

Role Overview

This dynamic and high-responsibility position requires an individual who is adaptable and ready to evolve alongside the business. You are not merely an assistant; you serve as an execution partner.

Executive & Calendar Management

  • Oversee intricate calendars while ensuring dedicated time for focused work
  • Schedule meetings with intention and efficiency
  • Prepare detailed meeting agendas and take comprehensive notes
  • Disseminate follow-up action items promptly
  • Provide daily updates on leadership progress
  • Ensure timely submission of reports before executive meetings

Reclaim CEO Time

  • Regularly audit leadership tasks
  • Identify tasks suitable for delegation, deletion, automation, or systemization
  • Filter communications to maintain executive focus
  • Guarantee that no high-priority tasks are overlooked

Communication & Inbox Management

  • Manage executive email inboxes effectively
  • Filter Slack and internal communications
  • Draft responses on behalf of leadership
  • Maintain organized systems and track follow-ups
  • Ensure timely resolution of communication threads

Project & Team Accountability

  • Manage projects within Notion
  • Track deadlines and deliverables
  • Regularly check in with team members on progress
  • Provide clear updates to the CEO & Operations Manager
  • Eliminate bottlenecks to maintain project flow

Travel & Logistics

  • Book flights, accommodations, and itineraries
  • Handle scheduling changes and adjustments with agility
  • Create detailed travel plans
  • Coordinate transportation and logistics

Financial & Administrative Oversight

  • Track receipts and expenses comprehensively
  • Submit reimbursements efficiently
  • Collaborate with the finance team as necessary
  • Maintain organized systems within Google Drive

eCommerce & Operations Support

  • Assist with Shopify and Amazon Seller Central tasks
  • Support product uploads and listing modifications
  • Extract KPI insights as required
  • Organize operational data effectively
  • Coordinate issue escalation when necessary
