We are looking for a detail-oriented and proactive Executive Assistant to provide high-level administrative support to our Chief Executive Officer (CEO) at livinghrinc. The ideal candidate will demonstrate exceptional organizational skills and discretion, with a proven ability to manage diverse responsibilities, including the handling of sensitive information and collaborating with global teams.
Your Responsibilities:
Administrative Excellence:
Oversee the CEO's calendar, coordinating meetings, appointments, and travel logistics.
Screen and prioritize incoming communications, including emails and phone calls.
Draft, edit, and prepare documents, reports, and presentations on behalf of the CEO.
Meeting Management:
Organize and prepare for meetings, including creating agendas and compiling materials.
Attend key meetings to take minutes and ensure follow-up on action items.
Manage meeting logistics, ensuring all technology and arrangements are in place.
Data Management:
Maintain confidential files and company documents, ensuring accuracy and security.
Oversee vendor lists and budgets, keeping information current and accurate.
Handle sensitive information with the utmost confidentiality.
Effective Communication:
Serve as the main point of contact for stakeholders, including executives and board members.
Compose and proofread emails, reports, and other communications for the CEO.
Support Company Initiatives:
Assist with strategic initiatives and projects as directed by the CEO.
Collaborate with the leadership team to achieve company objectives.
Event Coordination:
Help plan and execute company events, product launches, and board meetings.
Coordinate logistics, catering, and materials as necessary.
Budget Oversight:
Track and manage budget-related tasks, including expense approvals.
Maintain financial records for company expenditures.
