Aevex Aerospace seeks an Executive Assistant in Huntsville, Alabama to provide high-level administrative support for the CEO and executive team. This position manages daily office functions, handles confidential information, and ensures executives are prepared and organized for meetings, travel, and communications. The role also oversees the smooth operation of the Huntsville office.
Main Responsibilities
- Organize and maintain executive calendars, including scheduling meetings, conferences, and travel.
- Support daily office operations to keep workflows efficient.
- Prepare meeting agendas, collect materials, and record action items.
- Manage executive communications: calls, emails, and coordination with partners for Board meetings.
- Help executives stay informed and ready for upcoming commitments.
- Greet guests and clients, ensuring a professional and welcoming experience.
- Process and track expense reports for executives.
- Edit and proofread documents using MS Office (Word, Excel, PowerPoint, Outlook).
- Maintain organized electronic and paper filing systems.
- Uphold professionalism and confidentiality in all interactions.
- Contribute to special projects and coordinate with cross-functional teams as directed by executives.
- Address facilities-related issues when needed.
- Take on additional duties as assigned.
