About the job
We are seeking an experienced Administrative Assistant specializing in automotive fleet management for one of our clients based in Paris 13. In this role, you will report directly to the department manager and will be responsible for the comprehensive administrative oversight of a fleet of approximately 90 vehicles, along with various administrative support tasks.
You will serve as a crucial point of contact to ensure the smooth, accurate, and reliable functioning of the department's administrative processes.
Your Responsibilities:
Fleet Management
- Receive and process requests from employees (documents, inquiries, incidents).
- Report and monitor accidents.
- Manage and follow up on fines (national scope).
- Organize vehicle receptions and returns (contacting relevant parties, coordination, sending kits, etc.).
- Update insurance databases and internal files.
- Oversee maintenance, technical inspections, and various interventions.
- Administer loan vehicles.
- Verify and process invoices related to the fleet.
General Administration
- Draft and format letters.
- Organize, archive, and compile administrative documents.
- Enter, update, and verify lists, spreadsheets, and Excel files.
- Communicate information to internal and external contacts.
Coordination
- Serve as the liaison with lessors, insurers, manufacturers, and service providers.
- Coordinate logistics in relation to internal services.
- Track and manage document circulation.
Continuous Improvement
- Clean, update, and enhance reliability of tools.
- Participate in the formalization of documentation processes to ensure business continuity.
Working Hours: Monday to Friday, 8:30 AM to 4:30 PM with a 1-hour break.
Start Date: April 1, 2026.
