Overview:
Drodex is seeking an enthusiastic Administrative Assistant (Front Office) to provide critical support to a high-profile and impactful office within the United States Department of Health and Human Services. The Administration for Strategic Preparedness and Response (ASPR) plays a pivotal role in safeguarding the nation’s public health through preparedness and emergency response initiatives. Established following the challenges posed by Hurricane Katrina, ASPR leads national efforts to prevent, prepare for, and respond to public health emergencies and disasters.
In 2022, ASPR advanced to an Operating Division within the U. S. Department of Health and Human Services, which enhances its capability to coordinate national responses during emergencies effectively. Today, ASPR is at the forefront of numerous high-stakes missions, continually evolving to meet future health challenges and ensure national health security.
The Administrative Assistant will work closely with ASPR leadership to advance ASPR’s mission, ensuring seamless coordination between headquarters and field operations.
Schedule: Onsite (5 days a week)
Responsibilities:
- Welcome guests and visitors with professionalism
- Handle incoming telephone calls, directing inquiries as needed
- Manage and oversee staff calendars
- Organize and maintain files and written communications
- Collaborate with team members on various activities
- Document meeting notes and prepare correspondence for executive review
- Assist with special projects, including white papers, reports, and briefings
- Edit and revise documents, ensuring accuracy in white papers, reports, and policy directives
- Compile meeting notes, action items, and schedules for Front Office staff
- Draft and review executive-level correspondence and documentation
- Format, route, and track document approvals
- Perform general clerical and administrative tasks as needed
- Coordinate data and information flow between departments
- Prepare internal and external reports as required
- Contribute to policy development and implementation
- Stay informed about ongoing programs and initiatives
- Enhance workplace efficiency through effective verbal and written communication
- Support ASPR’s mission through precise coordination and reporting
- Review program materials for technical accuracy and appropriateness before submission to senior leadership
- Facilitate interagency coordination meetings through effective planning and organization
