We are seeking a proactive and people-oriented Front Office Executive to act as the welcoming face of our organization. This role is pivotal in ensuring efficient front desk operations, providing an exceptional experience for visitors and employees alike, and fostering internal coordination among teams. The selected candidate will possess strong interpersonal skills, meticulous attention to detail, and the ability to juggle multiple responsibilities effectively. In addition to front desk responsibilities, you will engage in employee engagement initiatives and participate in essential HR processes, making this a diverse and dynamic role.
Key Responsibilities
- Welcome visitors, clients, and guests professionally while managing front desk operations.
- Efficiently handle incoming calls, emails, and general inquiries.
- Maintain visitor logs and coordinate meetings, appointments, and schedules.
- Support HR activities, including onboarding, exit formalities, and documentation.
- Assist with PF and NATS-related tasks, ensuring accurate record-keeping and portal updates.
- Coordinate recruitment drives to enhance the candidate experience.
- Plan and execute employee engagement activities, events, and celebrations.
- Work collaboratively with internal teams to support communication and coordination.
- Manage office supplies inventory, gifts, and promotional materials.
- Monitor access control systems and prepare necessary reports.
- Assist in printing materials such as ID cards, certificates, and brochures.
- Provide comprehensive administrative support through documentation and reporting tasks.
- Prepare basic reports and maintain data in MS Excel.
Qualifications
- Bachelor’s degree in any discipline with a minimum of 2 years of relevant experience in a front office or similar role.
- Strong proficiency in MS Office, especially MS Excel and PowerPoint, along with familiarity with Google Workspace.
- Excellent interpersonal and communication skills, with a professional and approachable demeanor.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Basic understanding of HR processes and documentation is preferred.
- A proactive attitude with a willingness to take initiative and support various functions.
- Genuine interest in employee engagement and cultivating a positive workplace environment.
