Job Overview:
Join Treantly as a proactive and detail-oriented Part-time Executive Assistant. In this vital role, you will assist our dynamic team by managing operational tasks that foster business growth. Your responsibilities will include lead management, scheduling webinars, overseeing the email inbox, and maintaining our social media presence. This position is essential for optimizing administrative processes, enabling the executive team to concentrate on enhancing sales and scaling operations.
Key Responsibilities:
- Lead Management: Engage with leads, invite them to webinars, and follow up to facilitate course enrollment.
- Scheduling & Coordination: Organize webinar schedules, coordinate meetings, and ensure effective communication with clients and leads.
- Inbox Management: Manage the executive’s email inbox, prioritizing important messages for response or delegation.
- Social Media Management: Post weekly updates on social media using provided content templates (design skills not required).
- Sales Support: Assist with ad-hoc sales activities, including proposal preparation and client follow-ups.
- Data Entry & Reporting: Maintain and organize leads and sales data, producing reports for analysis.
- Ad-hoc Tasks: Support various administrative and operational needs, including documentation management and calendar coordination.
Qualifications:
- Demonstrated experience in administrative or executive assistant roles, particularly in sales or lead management.
- Exceptional communication skills, particularly with international clients.
- Highly organized, with the ability to manage multiple tasks and prioritize effectively.
- Familiarity with scheduling tools and email management systems.
- Basic proficiency in Microsoft Office, especially Excel for tracking and reporting.
- Experience in social media management (posting, scheduling, and basic content management).
- Ability to work independently with minimal supervision after initial training.
- Strong attention to detail and consistency in work processes.
Preferred Qualifications:
- Knowledge of CRM systems or customer relationship management tools.
- Some experience with online productivity platforms (e.g., ClickUp).
- Prior experience in customer-focused roles with flexible arrangements is advantageous.
