Role Overview
We are looking for a meticulous Raw Material Purchasing Assistant to bolster our procurement functions, ensuring a seamless supply of high-quality ingredients that characterize our fragrances. This pivotal role connects suppliers, internal laboratories, and production, playing a key role in maintaining inventory accuracy, regulatory compliance, and timely material availability.
You will collaborate with both global vendors and internal teams to oversee purchasing processes for essential oils, aroma chemicals, solvents, and fragrance bases, thriving in a dynamic environment where precision is paramount.
Core Responsibilities
Process purchase orders for raw materials (naturals, synthetics, and bases) aligned with production schedules, forecasts, and supplier lead times.
Verify that pricing, quantities, specifications, and delivery conditions are accurate before issuing orders.
Supplier Management
Engage in consistent communication with domestic and international suppliers.
Monitor order statuses, confirm shipping timelines, rectify pricing or invoice issues, and proactively mitigate delivery challenges.
Inventory Oversight
Oversee inventory levels to avert stock shortages while preventing surplus inventory.
Work in close coordination with lab and production teams to facilitate timely material arrivals for active projects and production cycles.
Quality Assurance & Regulatory Compliance
Gather, organize, and maintain necessary documentation for all raw materials and batches, including:
IFRA Certificates
Certificates of Analysis (COAs)
