The Senior Administrative Assistant plays a pivotal role in supporting our Investment Sales team by managing essential administrative functions, allowing team members to concentrate on closing deals. Responsibilities include coordinating daily activities, managing schedules, and organizing workflows to boost productivity.
In this role, you will:
- Act as a liaison between brokers and the investment sales team.
- Assist with deal-related tasks, scheduling, and overall organization.
- Manage and execute administrative duties to streamline workflow and enhance production.
- Input data into the company’s CRM system and maintain Excel pipelines and reports.
- Utilize the Microsoft Office Suite to prepare reports, presentations, and organizational charts.
- Prepare and submit brokers' expense reports.
- Prioritize assignments to ensure timely completion while maintaining a high standard of quality.
- Safeguard the confidentiality of sensitive information.
- Process and distribute a substantial volume of internal and external correspondence.
- Perform other assigned duties as needed.
To excel in this role, you should possess:
- Advanced proficiency in MS Word, Excel, PowerPoint, and Outlook, with experience in Salesforce.
- Commercial real estate experience is an asset.
- Flexibility and the ability to thrive under tight deadlines in a team-oriented environment.
- Exceptional attention to detail, strong organizational skills, and the capacity to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- The ability to effectively collaborate with individuals at all levels within the organization.
- A strong sense of confidentiality regarding sensitive matters.
- A high school diploma or GED.
- Seven to ten years of experience in a similar role.
