Join Situation Group, a renowned collective of digital-first advertising agencies and an award-winning nonprofit, as a Senior Client Finance Coordinator. This pivotal role serves as the cornerstone of financial expertise and the primary source of truth for your designated client portfolio.

Your Role

In this position, you will manage the entire financial lifecycle of assigned client accounts, transitioning from basic invoice processing to comprehensive financial oversight. You will act as the primary finance contact, guaranteeing that client budgets are thoroughly understood and reconciled, while spearheading process enhancements that reduce constant billing and foster consistency for both our clients and internal teams.

By working closely with Account Management teams, you will translate Statements of Work (SOWs) and media plans into accurate, predictable billing outputs, establishing a strategic link between financial operations and client-facing business goals. You will take full ownership of the financial health of your client set, ensuring that all invoicing is precise, timely, and reflective of current budget realities.

Our office is situated in midtown Manhattan, and the Senior Client Finance Coordinator is required to work in-office four days a week (Monday-Thursday).

Key Responsibilities

Financial Planning, Setup & Oversight

  • Collaborate with Account Leads to grasp client budget structures, converting SOWs and media plans into accurate billing milestones.
  • Lead the client onboarding process for finance, including initial setup within our financial systems and recommending templates tailored to specific client requirements.
  • Conduct weekly budget and billing status reviews with Account Leads to address any questions or concerns promptly.
  • Draft quarterly billing schedules and obtain sign-offs from both Finance and Account Leads to ensure consistency.

Billing Operations & Reconciliation

  • Oversee the invoice lifecycle for assigned clients, leveraging deep knowledge of SOWs and media plans to process invoices independently.
  • Manage end-of-period (monthly/quarterly) work-in-progress, leading reconciliation meetings to review final production and media invoices, addressing overflow costs and pending inquiries.
  • Ensure that all invoice formats, descriptions, and amounts are client-ready and delivered punctually in accordance with the billing schedule.

Stakeholder & Relationship Management

  • Act as the first point of contact for client financial inquiries; proactively escalate or resolve issues to minimize friction.
  • Facilitate weekly standups with client teams to align on budget versus actuals.
  • Prepare and distribute weekly Open AR reports, driving specific follow-ups with clients and internal stakeholders to resolve outstanding balances.
