High school diploma or equivalent. At least 1 year of experience in office services, preferably within legal, banking, or large corporate settings. Proficient in operating mail, telephone, email, and reprographics/digital mail equipment. Familiarity with general back office processes aimed at client satisfaction. Strong customer service skills to foster and enhance client relationships. Excellent written and verbal communication abilities, including professional telephone and email etiquette. Meticulous attention to detail coupled with robust organizational skills. Capacity to meet deadlines and deliver projects punctually. Adept at managing sensitive and/or confidential documents and information. Ability to make independent decisions aligned with business needs and policies. Solid problem-solving capabilities, with discernment on when to escalate issues to a supervisor.

The Office Services Associate plays a pivotal role in delivering exceptional back office services tailored to meet the needs of our clients and teams. Key responsibilities encompass a range of services including reprographics (copying) and mail management in both physical and digital formats, alongside support for hospitality, facilities, audio/visual, reception, and other service lines as necessary.

Key Responsibilities:

  • *Maintain accurate logs for all office services tasks.
  • *Ensure job tickets are thoroughly completed prior to commencing work.
  • *Execute office services tasks, focusing on reprographics, mail handling, and intake functions in accordance with established protocols.
  • *Adhere to procedures for executing jobs in the correct sequence.
  • *Communicate effectively with supervisors or clients regarding job-related or deadline concerns.
  • *Consistently meet contractual deadlines for job acceptance, completion, and delivery.
  • *Diagnose and resolve basic equipment issues.
  • *Regularly lift items weighing up to 50 lbs.
  • *Prioritize workload efficiently.
  • *Conduct Quality Assurance checks on personal and team deliverables.
  • *Load machines with various supplies including paper and toner.
  • *Respond to phone calls, emails, and service requests as needed.
  • *Engage with clients in person, via phone, or electronically.
  • *Comply with Williams Lea policies as well as client site regulations.
  • *Utilize resources and supplies economically.
