Key Responsibilities
Time Management for the CEO
- Maintain and proactively manage the calendars for multiple companies.
- Adapt schedules in real-time to meet shifting priorities autonomously.
Project Coordination
- Oversee CEO-led initiatives, ensuring deadlines are met and addressing bottlenecks proactively.
Communication Management
- Act as the main point of contact for internal teams and external clients reaching out to the CEO.
- Draft and manage correspondence with the necessary escalation when required.
Meeting & Travel Arrangements
- Organize and confirm meetings, conferences, and travel logistics.
- Prepare detailed agendas and take actionable minutes.
Reporting & Presentations
- Compile tailored reports and presentations, identifying and rectifying any inconsistencies before submission.
Process Improvement
- Identify inefficiencies in office workflows and suggest actionable solutions for implementation.
Analytical Support
- Conduct thorough analyses, including needs assessments and strategic planning, presenting actionable recommendations.
Ad Hoc Executive Support
- Address urgent tasks independently, escalating only when necessary.
Essential Qualifications
- 1-2+ years of experience supporting C-Suite executives across multiple companies.
- Ability to work independently, prioritize tasks, and take ownership of outcomes.
- Exceptional verbal and written communication skills; proficient in composing executive-level correspondence.
- Strong multitasking and time management abilities, maintaining focus amidst interruptions.
- Comfortable using various digital tools for communication and organization.
